Finance Officer

Expired on: Jun 9, 2023

Your Employment Settlement Service (YESS) is a legal advice charity and a company limited by guarantee. We provide free and affordable employment law advice to people and organisations who cannot source this elsewhere. Our charitable purpose is to assist in resolving employment disputes without going to court.

Approximately 25% of our work is grant funded, benefiting clients on low or no income. A small amount comes from donations. The remainder comes from paying clients. These income streams are processed and reported on differently.

We are seeking a Finance Officer which is a new position resulting from the splitting of finance responsibilities from our Office Manager’s role.  The successful candidate will have the opportunity to refine our existing financial processes and help develop the function overall.

Our legal advisers are solicitors. Therefore, prior knowledge of legal advice finance work would be an advantage but not essential as YESS is not regulated by the Solicitors’ Regulation Authority and does not operate solicitors’ accounts.

We anticipate that the finance role will require 14-17.5 hours per week. There may be an opportunity for extra hours performing administrative duties, should candidates wish to explore this with us.

Key responsibilities and tasks

  • Income processing and sales ledger – processing grant payments and donations and generating private client invoices via Xero.
  • Credit control – helping to ensure private client debtors pay in a timely manner by carrying out credit control by phone, email and statements.
  • Purchase ledger – Process purchases invoices and ensure these are paid in a timely manner.
  • Banking – making payments, reconciling income and purchase transactions in Xero at regular intervals, paying in any cheques received and reconciling as appropriate
  • Ensuring all control accounts are reconciled regularly in Xero
  • Petty cash – Issue, reconcile and post to Xero
  • Payroll – Liaise with YESS payroll provider to supply monthly payroll changes and complete monthly payroll journals in Xero.
  • Assisting with budgets and grant project finance reporting
  • Helping to refine and improve YESS finance systems, documenting processes clearly to ensure business continuity.

You will be

  • Methodical and accurate, with excellent organisational skills.
  • Proficient in Microsoft Office Suite particularly Excel, and with the ability and confidence to learn multiple new systems.
  • Experienced in cloud-based accounting systems, preferably Xero.
  • An excellent communicator who is comfortable working with clients, suppliers and other third parties at all levels of seniority and from a wide variety of backgrounds.
  • Proactive, able to identify tasks that may need doing beyond instructions, and willing to identify problems and suggest resolutions, including providing advice on process improvements.
  • Committed to the purpose and ethos of YESS, and able to deal compassionately and sensitively with potentially vulnerable clients.

We can offer you

A pleasant and supportive working environment. We are a small, friendly team currently consisting of the CEO, 5 senior solicitors and 2 support staff. Flexibility. The finance role may be 0.4 to 0.5 FTE (14 – 17.5 hours per week), on a negotiable pattern, depending on the wishes of the successful candidate and the needs of YESS.  Additional administrative duties may be available for up to 7 hours per week if candidates are interested in discussing this.

YESS operates hybrid working. Typically, one or two days a week would be spent in our offices in London (Somerset House). A laptop, extended desktop, printer and mobile phone will be provided for home working.

We are committed to building a diverse workforce to ensure we are effective at meeting our clients’ needs and our charitable objects.
